Project Manager (Retainers)

The ideal fit for this role will be obsessively organized, enjoy communicating with team members & clients, and remain un-daunted by the repeated follow-ups necessary to move a project forward.

Position Goals

  1. Empathetically address all (not just retainer) client communication within 12 hours and follow up with the appropriate parties every 48-72 hours until resolution.
  2. Systematically organize team systems and priorities every 24 hours so retainer priorities are met and communicated to each team member at least twice a week.

Example Tasks

  • Monthly: export, analyze, summarize, and send out monthly billing reports and invoices to retainer clients.
  • Monthly: onboard new clients, organize Drive folders, set up ClickUp projects, and send invoices.
  • Weekly: independently create systems to streamline repetitive work.
  • Weekly: improve documentation by spending at least 1 hour a week reading, modifying, or adding to the collection.
  • Weekly: check in with clients waiting for project updates.
  • Bi-weekly: review ClickUp tasks against project deadlines and reorganize team workload accordingly.
  • Daily: approve client retainer requests, provide estimates when needed, schedule with developers, review outcome against request, and update clients upon completion.
  • Daily: heckle team members for timely information that they’re putting off (read: harass us about emails, questions).
  • Daily: reply to clients in a highly personal manner, making sure they feel–and are–seen, heard, and appreciated.

  • Estimated hours per week: 15
  • Pay: $13-25/hr

Pretty much all documentation is written by team members during or after their sink-or-swim start with us: our team is composed of highly confident and communicative persons, each of us willing to figure out what needs to be done and ask for what we need.
